Communication

Twilio

Every call and text message flows through BayOS. Know who is calling before you answer, send updates from the repair order, and keep a complete communication timeline for every customer -- all powered by Twilio.

What's Included

SMS/MMS Messaging

Two-way text messaging with customers. Send updates, photos, and text-to-pay links. Messages auto-link to the customer record.

VoIP Phone Calls

Make and receive calls through BayOS using your shop phone number. No separate phone system needed.

Call Recording

Optionally record inbound and outbound calls. Recordings are attached to the customer timeline for dispute resolution and training.

Voicemail Transcription

Missed calls go to voicemail and are automatically transcribed. Read the message instead of listening to it.

Inbound Screen Pop

When a customer calls, a screen pop shows their name, vehicle, open repair orders, and lifetime value before you pick up.

Auto-Log to RO

Every call and text is automatically logged to the customer record and linked to the active repair order.

How It Works

Inbound Call Flow

1

Incoming Call

Customer dials your shop number. Twilio routes the call to BayOS and triggers a lookup by caller ID.

2

Screen Pop

BayOS matches the number to a customer and displays their name, vehicle, open RO, and lifetime value in a screen pop.

3

Auto-Log to RO

After the call, BayOS logs the call duration, recording, and notes to the customer timeline and active repair order.

Outbound SMS Flow

1

Send SMS

Advisor sends a text from the repair order -- status update, photo, estimate link, or text-to-pay.

2

Delivery Tracking

Twilio delivers the message and reports delivery status back to BayOS. You see sent, delivered, and failed statuses.

3

Auto-Link

The message is logged to the customer timeline and linked to the repair order. Replies come back into BayOS.

Setup

Connect your Twilio account and start making calls and sending texts from BayOS in minutes.

1

Add Twilio Credentials

Go to Settings > Integrations and enter your Twilio Account SID, Auth Token, and the phone number you want to use for SMS and calls.

2

Configure TwiML App

Create a TwiML application in your Twilio console and point the voice and messaging webhooks to the BayOS endpoints provided in Settings. This routes all calls and texts through BayOS.

3

Test Inbound and Outbound

Make a test call and send a test text to verify the screen pop, call routing, and message delivery are working correctly.
